Team Parent

What does a Team Parent (or "Team Administrator") do?


Having a Team Parent or TA doing all the behind-the-scenes work allows the coach(s) to focus on coaching.  A Team Parent can be invaluable for any team.  

Here are some of the major responsibilities of a team parent, or TA:  

Money Manager - Financial responsibilities for our teams aren't too much, typically including collecting some money towards the purchase of a team banner (unless someone makes one), a team gift basket (unless donated items are used) towards the leagues Spring Season Closing Day fundraiser basket raffle, team party, and maybe one or two other small odds and ends.  The league does require each team to participate in the raffle baskets ($100+ value per team basket), but all else is optional.  

"Answer Person" -  The "go-to" person on all questions regarding team activities, fundraising, etc.  Should know the schedule and where to find the field locations (maps are on our 'Fields' page), directions, etc. via the Internet.

"Keeper of the List"A team contact list is an important tool to aid in communication and getting to know team and family members. The contact list should include:
  • player names and jersey numbers
  • parents' or guardians names
  • parents' best contact phone numbers and email addresses. 

Keep in mind that, if a player has more than one set of involved parents information for both parents needs to be listed. Since text messaging and email is the easiest and preferred method of communication these days, the Team Parent should create a group text/email listing of all team members and use it regularly in communicating with all team members and their parents.  GroupMe has been the app of choice for MPB teams/members for several years, and remains a requirement for all Team Parents and Head Coaches to use for league communications.  

Team Gift Basket Coordinator (spring season only) - During Closing Day Ceremonies, Menifee PONY does an end-of-season fundraiser involving raffling off creative gift baskets made from each team.  The gift baskets should be a minimum of $100 value and can be made up of items purchased or donated.  Sometimes a Team Parent might assign this task to another willing parent volunteer from the team.  

Team Banner Coordinator - Most teams like to have a team banner for their team, listing the players, coaches and the team parent.  This banner can be of the home-made variety, or it can be purchased from a company that makes custom banners.  There are several small local businesses who make great banners for our teams every year.  The older teams, typically Pony+ and sometimes even Bronco, don't always use banners.  Mustang and younger teams very rarely go without having a banner.  Often, teams will buy banners that come in different sections, or cutouts, for each player to take with them after the season ends.  Sometimes a Team Parent might assign this task to another willing parent volunteer from the team.  

Picture Day Coordinator (spring season) - Picture Day is usually on our Opening Day, which is usually the 3rd or 4th Saturday of February.  The Team Parent makes sure parents of each player get the order form before picture day, and they each know the time and location of picture day.  On Picture Day they will organize everything on the team side of the picture taking process.   Sometimes a Team Parent might assign this task to another willing parent volunteer from the team.  

Post-Game Snack Coordinator - Every kid loves his/hers post-game snack so it's important that the game schedule gets coordinated with the snack schedule.  It's also a great idea to send out a reminder a couple days ahead to the parent with snack duty.  This task sometimes isn't done for Bronco teams, and very rarely for any divisions older than that.  Sometimes a Team Parent might assign this task to another willing parent volunteer from the team.  

Dugout Boss (must be safety approved & wearing badge) - In the younger divisions, Filly & Shetland, and sometimes even Pinto, the players often need extra supervision in the dugout that the coaches are sometimes too busy to handle. This includes preventing behavior that might be too rowdy or dangerous, having the players keep the dugout clean during and after their games, and even holding the batting lineup to keep the batters and on deck batters ready to go.  


Player Buckets - In the younger divisions, Filly, Shetland and maybe even Pinto, some teams like to purchase small bins or buckets for players to keep their helmet and gloves in when not in use.  This helps to keep the dugout more neat and organized, which helps kids find their stuff quicker, which helps them get up to bat or back on the field quicker.  You can find bins like this at the Dollar Store or some other similar store.  These shouldn't cost more than a few bucks and can be added to the "Money Manager" list.  Sometimes a Team Parent might assign this task to another willing parent volunteer from the team.  

Team Party - At the end of each season you will want to schedule a team party where everyone can relax and have fun.  This is usually where the trophies are handed out.  These team parties are often at a house (pool party!) or a pizza place, and scheduled within approximately two weeks of the seasons final event (last games in fall, or Closing Day in spring).  In the spring season, sometimes these parties are scheduled on Closing Day at Wheatfield Park so the adults can hang out while the kids enjoy all of the leagues Closing Day festivities.  Sometimes a Team Parent might assign this task to another willing parent volunteer from the team.
